A Self-Service Front Desk: Check In, Book, Sign Up and Pay on a Tablet

Frontdesk mode used to do one thing: scan a code, record a visit. A member who came to book tonight's class was checked in on sight, and a walk-in still had to wait for a free staff member. The kiosk now runs your front desk on its own.

Nothing is recorded until the member says so. After a scan or PIN, the kiosk greets the member by name and photo and lists what they can do right now: Open gym, today's Booked sessions, Classes today to reserve or join the waitlist for, and Appointments they can book for today, with who hosts each one and the times still free. A booking starting within the hour is already selected, so a member arriving for their class confirms with one tap. Nothing else is chosen for them, not even open gym, so a member who only came to reserve a spot leaves without a visit on their record.

Members sort out their own paperwork. If you require documents before check-in, a member with unsigned waivers signs them on the tablet and carries on, instead of being turned away. A member whose plan has run out taps Buy a plan, picks one, and pays on the spot. A blocked member is told to ask at the desk.

Walk-ins sign up without staff. New here? Sign up sits at the top of the screen. A visitor enters their details, including any custom fields you require, with address and guardian optional. They then choose a plan, pay, and sign the documents it needs. With Stripe connected they pay by card on the tablet. Otherwise they pay at the desk, where staff add the plan. A plan is only added to an account once it's paid for, so someone who walks away mid-payment leaves no plan and no unpaid invoice behind. Then they check in to their first visit, and their QR code and PIN arrive by email. The kiosk offers only plans with Show on website turned on, so staff-only plans stay behind the desk.

It looks like your gym, and keeps accounts private. The kiosk shows your gym's name and logo. The check-in window closes after a minute without a touch, and an abandoned sign-up clears itself, so the next person never lands in someone else's account.

Faster appointment times everywhere. Working out which appointment times are free now takes a fraction of the database work it did. The kiosk, the booking screens and your gym's website all load them faster.
